- Attending our annual staff retreat.
- Supporting our PLTI national or regional training events.
- Representing NPLI at conferences or convenings.
Salary Range
$58,000 – $62,000 annually. Offers will vary based on experience

The Impact You’ll Make
As the Office and Communications Coordinator, you’ll play a vital role in supporting the operations and communications functions of our national team. You’ll ensure smooth internal processes while assisting with a wide variety of tasks, ranging from finance support to managing events.
This position offers a unique opportunity to work closely with a passionate team of professionals who are committed to social justice and equity.
In Your Role You Will
Office Coordination (60%)
- Office Operations: Manage office supplies inventory and place orders as needed. Ensure office equipment is maintained and troubleshoot issues when they arise. Coordinate team calendars.
- Administrative Support: Provide general administrative support to the team, including handling mail, managing incoming calls, filing, and data entry. Organize and maintain electronic files (Google Drive).
- Vendor support: Coordinate with vendors as needed. Manage requests for interpretation and translation services.
- Event Coordination: Plan and coordinate in-office meetings, events, and team-building activities, including scheduling, setup, catering, managing registration, and logistical arrangements. Coordinate virtual events like webinars and training, providing back-end tech support via Zoom.
- Human Resources Assistance: Assist with onboarding new employees, including setting up workstations and preparing welcome materials. Help organize staff training and development initiatives.
- Finance Support: Support basic finance tasks, such as processing invoices and handling expense reports. Support finance and contract coordination, including managing files on MOUs, grants, and contracts. Process and track stipend and bill payment requests. Support grant report creation.
- Health and Safety Compliance: Ensure the office complies with health and safety regulations, manage emergency protocols, and maintain first aid and emergency supplies.
- Travel Arrangements: Coordinate travel bookings and itineraries for team members as needed.
Communications Support (30%)
- Assist in content creation for our website.
- Help develop quarterly newsletters by collecting and drafting content from team members.
- Support the creation of the annual report by gathering information and drafting sections for review.
- Assist in preparing presentations, including slide decks, for meetings, conferences, and other events.
- Contribute to social media campaigns and assist in developing curriculum materials.
Team and Project Support (10%)
- Coordinate logistics for meetings and events with internal and external stakeholders.
- Participate in and help organize NPLI training events and regional convenings.
- Represent NPLI at events, including staffing tables or speaking to groups as needed.
- Participate in weekly team meetings and help facilitate them on a rotating basis.
- Engage in professional development opportunities and team retreats as approved.
You Are
- Organized and detail-oriented: Able to manage multiple tasks efficiently.
- An excellent communicator: Strong written and verbal communication skills. Strong proofreading skills.
- Experienced in non-profit finance
- A problem solver: Able to troubleshoot challenges and work independently.
- Tech-savvy: Comfortable with Microsoft Office and Google Suite and able to learn and pick up new programs and processes quickly.
- Committed to equity and social justice: You understand and value diversity and inclusion in the workplace.
- A strong relationship builder: Able to work well within a diverse team and outside stakeholders.

- Proven experience in office management or a similar administrative role.
- Proficiency with office software (e.g., Microsoft Office Suite, Google Workspace) and ability to troubleshoot technical issues. Familiarity with office management software or tools (e.g., Slack, Asana, Trello).
- Experience with HR or finance support.
- Strong organizational and multitasking skills.
- Excellent interpersonal and communication skills.
- Ability to work independently and handle sensitive information with confidentiality.
- Knowledge and commitment to racial equity and social justice.
- Flexibility to work occasional evenings or weekends.
- Proficiency in English is required. Bilingual with proficiency in Spanish is preferred.
